Google Workspace setup & support, in plain terms

Google Workspace is business Gmail plus Drive, Docs, Sheets, Calendar and Meet, running under your own domain name. Staff get an address at your business rather than a personal Gmail, and the business owns the accounts rather than the individuals.

That last part matters more than most people realise. A business running on personal Gmail accounts does not own its own email history, cannot recover an account when someone leaves badly, and has no way to enforce security across the team. Workspace fixes all three, and it is the main reason to move.

Setup involves pointing your domain at Google, configuring the records that stop others sending mail as you, bringing across existing mail and files, structuring shared drives so folders belong to the business, and turning on the security controls that are off by default.

Why your business needs this

Google Workspace is straightforward to start and easy to set up badly. Most of the problems we get called about are configuration decisions made years earlier by someone who was in a hurry.

The business should own the accounts

With Workspace you can reset a password, recover a mailbox, or transfer someone's files when they leave. With personal Gmail you can do none of that.

Shared drives outlive people

Files in someone's My Drive belong to them. Files in a shared drive belong to the business and stay put when the person goes.

Your mail needs to arrive

Without SPF, DKIM and DMARC configured on your domain, your invoices land in junk folders and anyone can send email that looks like it came from you.

Two-step verification is not automatic

It has to be enforced across the business. Left optional, most staff never turn it on, and one guessed password becomes everyone's problem.

  2. Plan the move

    A dated cutover, with staff told in advance what changes on their end and what does not.

  3. Migrate and switch

    Data copied first, then mail routed to Google. The old service stays live until we have confirmed the new one.

  4. Structure and secure

    Shared drives built, permissions set, two-step verification enforced, unused accounts removed.

  5. Support from there

    New starters, leavers, permissions and the day to day questions, handled by the same people who set it up.

Common questions

We use free Gmail for the business. Is that a problem?

It is a real risk. The business does not own those accounts, cannot recover them, and cannot enforce security. Moving to Workspace on your own domain is usually one of the cheapest meaningful improvements a small business can make.

Will staff have to learn something new?

Barely. Gmail looks the same. The address changes and the security prompt is new. Most of the change is behind the scenes.

Can we keep our existing email history?

Yes. Mail, contacts and calendars are migrated across, including from personal accounts.

Does Google back up our data?

Not in the way people assume. Deleted mail and files are gone after the retention window. Separate backup covers that and is worth the small cost.

Google or Microsoft?

Google suits teams that work in a browser and want the simpler setup. Microsoft suits heavy Excel use and industry software built around Outlook. We support both and will tell you which fits.
